Case Information Category

 

Who will enter customer information into C-IV? Each County will determine how it will use C-IV, including who will enter what types of information into the system. Generally, all staff who now deal with a customer's case will need to enter information into C-IV.

Will the C-IV system accommodate a Child Care only case? Yes.

How will an Intake worker know he/she has been assigned a new case? Will it be in a "queue"? Cases will show up on the worker's Workload Inventory page. If the county chooses to use the intake appointment option, an appointment email will also be sent to the worker's county email system.

How will cases be reassigned when workers leave or get promotions? Cases will be reassigned via the Workload Reassignment Detail page. This page provides a number of reassignment options, including distribution of workload to one (or many) workers.

Will the system show what address the printed documents were sent to? Where are NOAs printed? Yes, the C-IV system will show the address to which the printed documents were sent. These may be printed at a central location off-site or at alocal office. It is the users choice.

Is information documented or archived within the C-IV application available immediately? All information, even for closed cases, will remain readily available online. There will be no archived information.

Will C-IV be set up to notify the end-user when an incorrect zip code is entered? C-IV will validate addresses before they are saved. If the user tries to save an incorrect or invalid address, the system will prompt the user to enter a valid address.

For an Inter-Program Transfer, can forms be transferred from one program to another without having to provide another verification? Yes, all forms and verifications are kept with the case. If a customer changes programs (e.g. CalWORKs to Medi-Cal) all their documents will remain with the case file.

Will we be able to see information from other counties? Limited person information is viewable across counties when a person search is performed. Issuance history and other detailed case information will not be viewable in other counties. Service Provider information within the Resource Databank will also be viewable across counties.
