System Features Category

Will C-IV be capable of creating a mail merge? No, this can be accomplished using Microsoft Word or another software.

Top of Page

Is information required in every field on the page? No, only those fields denoted by a red asterisk are required fields.

Top of Page

What will the default be for drop-down boxes in the system? Drop down boxes within the system will default to blank.

Top of Page

Will there be shortcut keys? Do we always have to use the mouse? The user will not be able to operate the system using only the keyboard. It will be possible to use the tab key to move between most fields on the pages, and the down arrow may be used to scroll through dropdown boxes. However, system navigation will be primarily mouse-driven.

Will there be prompts like "Are you sure you want to…?" before entering information? The C-IV application will minimize the use of "reminder" or "alert" messages. Past experience and recent Usability Testing has shown that usually these messages do more to hinder than to help users by forcing them to take another largely unnecessary step when entering or changing information. As a self-check tool, many pages are redisplayed after a save giving users a chance to verify their changes. In addition, users can navigate to summary pages that will show the most important and often used information for various functions.

Will the user be able to use the browser buttons (back, forward) and will it overwrite data when they go back to a previous screen? Yes, in most areas of the application, the browser back and forward buttons are a way to navigate the C-IV application.

Is the C-IV system faster than MAGIC? We expect C-IV to allow users to process cases at least as fast as on MAGIC. C-IV is being designed and built using a very different architecture from MAGIC and so will have different performance characteristics. Moving from page to page in C-IV will take longer than on MAGIC, but in general MAGIC only collects/displays one piece of information per page, whereas C-IV will collect and display multiple pieces of information per page, allowing faster overall data collection. C-IV will also allow more flexible navigation, providing the user with the ability to access necessary function(s) more quickly.

Can there be a drop down menu when entering the school attendance? When the worker first enters a new school for a child, the "School Name" field is a text box (not a drop down). However, once the worker enters the name, they will click the "Select" button next to the field. This will bring up a School Search page, where the worker can search on the school name and address (if known). The worker will then see a list of schools that match their search criteria and select the correct school. This will allow the system to keep a central list of every school in the county, and which children attend which schools.

Will the system be available for workers who work on evenings and weekends? Barring the need for additional downtime (i.e., batch processing, system maintenance needs), it is planned that the system will be available between the hours of 6am and 8pm, Monday through Saturday.

What paper products will be maintained in physical files? Will documents signed by clients, specifically those signed under penalty of perjury, be maintained? Documents will be scanned into the C-IV System and tracked by case number. Each consortium county will determine whether records are maintained in a physical paper file.

If we have partial ID information such as part of a name can the C-IV System find the person? Does the System have a fuzzy search? Yes.

Top of Page

Could the background on the screen be other than white? The background could have been any color. White background with black text was selected as the standard for optimal contrast and maximum readability. These colors will not be changeable.

Top of Page

How many languages will the C-IV pages support? The main text of the system will be in English only. However, NOAs (Notices of Action) and certain forms will be available in both Spanish and English.

Top of Page

Will C-IV allow a user to change colors and fonts? The User will not be able to change colors or fonts in C-IV. They will be able to change text size by going to the browser View menu and selecting a new text size.

Top of Page

Will Work Performance Evaluations be done on C-IV? No.

Top of Page

Will we still use paper? Yes. While many forms will no longer be needed when C-IV is implemented, some forms will continue to be used. The C-IV project staff reviewed all the forms from the four counties and determined which forms the system will replace and which forms it will not. The specific forms that will remain in use will vary from county to county.
